Sourcing Promotional Products from China

Understand sourcing models, supplier roles and the main advantages and risks of buying custom merchandise from China.

What are custom promotional products?

Custom promotional products are physical products customized with a company logo, brand colors, artwork, packaging or other branding elements. Common examples include bags, drinkware, apparel, uniforms, office items, technology accessories, awards, gift sets and event merchandise.

Why source promotional products from China?

China has a large manufacturing ecosystem covering many product categories, materials and customization methods. Potential advantages include broader product selection, competitive volume pricing, specialist manufacturing capabilities, custom packaging and multi-product sourcing. Buyers should still evaluate samples, quality control, supplier verification, production timelines and international shipping before ordering.

Are you a manufacturer or a promotional products sourcing company?

Corporate Gift Genius is a China-based sourcing and production management company rather than a single-product factory. Different products may require different manufacturing capabilities, so projects can be coordinated across suitable manufacturing partners through one point of contact for sourcing, artwork, production, quality control and shipping.

02

MOQ & First Orders

Learn what determines minimum order quantities and how a first order can be structured to reduce purchasing risk.

What is the minimum order quantity for custom promotional products?

There is no single MOQ for every promotional product. Minimum order quantity depends on the product type, material, customization method, custom color requirements, packaging and manufacturing process. Some existing products with simple logo printing may support relatively small quantities, while fully customized products may require higher minimums.

Can I place a small custom promotional products order?

For some products, yes. Small custom orders may be possible when an existing product only needs relatively simple branding such as printing, engraving or embroidery. Products requiring custom molds, special materials, custom colors or complex packaging may require higher quantities. For a first project, ask whether a sample or smaller pilot quantity is practical.

03

Samples, Artwork & Branding

Confirm samples, artwork files, logo placement and brand-color requirements before bulk production.

Can I order a promotional product sample before bulk production?

For many products, yes. A stock sample can help you evaluate the general product, material, size and construction. A customized sample can help you evaluate your actual logo, branding or packaging before bulk production. Sample availability, cost and lead time vary by product.

Will I approve the artwork before my promotional products are produced?

Yes. Relevant artwork and customization specifications should be confirmed before bulk production. Depending on the order, approval may cover logo position, logo dimensions, Pantone or brand colors, product color, decoration method, packaging artwork and personalization.

What file format should I use for promotional product logo printing?

Vector artwork generally gives the best production result. Common preferred formats include AI, EPS, SVG and editable PDF. High-resolution PNG or PDF files may also work depending on the printing or decoration method.

Can promotional products be matched to Pantone brand colors?

Pantone references can be used for many custom promotional products. Final appearance may still vary depending on material, surface texture, printing process, base color and lighting. If color accuracy is critical, identify that requirement before production so the appropriate sample or color approval process can be agreed.

04

Pricing & Quotations

See what affects custom promotional product pricing and what information is needed for an accurate quotation.

How much do custom promotional products cost?

There is no universal price because pricing depends on the specific product, quantity, material, specifications, logo size, number of print colors, branding method, packaging, sampling and shipping destination. Higher quantities often reduce unit cost because setup and production costs are spread across more units.

What information do I need to get an accurate promotional products quote?

For the most accurate quotation, provide the product or reference image, quantity, logo or artwork, relevant material or color requirements, branding method if known, packaging requirements, delivery country and postcode, and required delivery date. If every specification is not known yet, a reference image, approximate quantity and intended use are usually enough to start.

Are there setup fees for custom promotional products?

Some customization processes involve setup costs. Depending on the project, these may include printing setup, embroidery digitization, tooling, molds, customized samples or special packaging. Applicable setup or customization charges should be identified before the order is confirmed.

Does the quoted price include international shipping?

Not necessarily. The quotation should state the agreed shipping term. A price may be EXW or FOB, while another quotation may include DAP or DDP delivery. Always check what is included rather than assuming the product price includes freight, duties or taxes.

05

Production & Lead Time

Plan sampling, bulk production and shipping separately so fixed event and delivery dates can be evaluated realistically.

How long does it take to manufacture custom promotional products?

Production lead time varies by product, quantity and customization. Simple logo customization on an existing product may be faster than projects involving custom materials, colors, molds, complex packaging, multiple products or extensive personalization. Sampling time, production time and international shipping time should be considered separately.

Can you produce promotional products for a rush event or deadline?

Rush production may be possible depending on product availability, quantity, branding method, production capacity and shipping route. For a conference, trade show, product launch, employee event, Ramadan, Eid, Christmas or another fixed date, provide the required in-hand date when requesting the quote so production and shipping can be evaluated together.

06

Quality Control & Inspection

Understand typical pre-shipment checks, inspection evidence and independent third-party inspection options.

How is quality checked for custom promotional products?

Quality control depends on the product and agreed specifications. Typical checks may include product specification, material, dimensions, color, quantity, logo position, print or embroidery quality, packaging and carton condition. If your organization has a specific QC standard, provide it before production.

Can I see my promotional products before they are shipped?

For many custom orders, pre-shipment photos or videos can be provided. These may show finished products, logo details, packaging, master cartons and the overall shipment. If your organization requires specific inspection evidence, discuss it before production.

Can I arrange a third-party quality inspection in China?

Yes, buyers may arrange an independent third-party inspection where appropriate. The inspection company, standard, timing and associated costs should be agreed before the shipment is released.

07

Problems & After-Sales

Know how specification mismatches, defects and customized-product claims should be documented and reviewed.

What happens if custom products do not match the approved specifications?

If an issue occurs, document it with photos or videos, the order reference and the quantity affected. The delivered goods can then be compared with the approved artwork, product specification, sample, packaging requirements and available inspection records. The appropriate resolution depends on the cause and extent of the issue.

Do custom promotional products have a zero-defect guarantee?

No responsible supplier should claim that manufacturing is completely free of risk. Artwork approval, sampling, production controls and inspection are designed to reduce and control manufacturing risk. If a project has unusually strict tolerances or quality requirements, they should be agreed before production.

Can customized promotional products be returned?

Customized products generally cannot be returned simply because the buyer changes their mind, because they were produced specifically for that customer. If delivered goods materially differ from the approved specifications, the issue should instead be reviewed against the agreed order documentation.

08

International Shipping, DDP & Customs

Understand DDP, DAP, FOB, international freight, customs clearance, duties and final-mile delivery responsibilities.

Can promotional products be shipped internationally from China?

Yes. Common shipping methods include express courier, air freight, sea freight and door-to-door freight. The appropriate method depends on shipment weight and volume, destination, budget and required delivery date.

What is DDP shipping for promotional products?

DDP means Delivered Duty Paid. Under an agreed DDP shipment, the seller arranges delivery to the specified destination under the agreed terms, including the import-related responsibilities included in that quotation. Because DDP availability and scope can vary by country and shipment, buyers should confirm exactly what is included.

What is the difference between DDP, DAP and FOB?

DDP means Delivered Duty Paid and places the agreed destination and import responsibilities on the seller under the quoted terms. DAP means Delivered at Place, where the seller delivers to the agreed destination while the buyer generally handles applicable import duties and taxes. FOB means Free on Board, where the buyer or freight forwarder manages international transportation after the agreed port handover. Always confirm the exact Incoterm on the quotation.

Are import duties and taxes included in promotional product shipping?

Only when explicitly stated. A quotation that includes international freight does not automatically include customs duties or local taxes. Confirm the Incoterm, freight, customs clearance, duties, taxes and final-mile delivery before approving the quotation.

09

Custom Sourcing & Corporate Gift Sets

Source products beyond the online catalogue and coordinate multi-product gift sets, kits, packaging and consolidation.

Can you source promotional products that are not listed on your website?

Yes. You can provide a product photo, screenshot, product URL, PDF, sketch or existing sample together with quantity, customization requirements, destination and required date. This allows products outside the online catalogue to be evaluated for sourcing and customization.

Can multiple promotional products be combined into one corporate gift set?

Depending on the project, multiple products can be sourced, customized and packed together as one corporate gift set. Examples include employee onboarding kits, event gift sets, conference packs, holiday gifts, client appreciation boxes and PR kits. Projects may also include custom packaging, inserts, greeting cards and product consolidation.

10

Corporate Procurement & Compliance

Identify supplier-onboarding, documentation, testing and compliance requirements before the order is finalized.

Can you provide compliance documents for promotional products?

Compliance documentation depends on the product, material, manufacturer and destination market. Depending on the product, documentation may include product test reports, material declarations, FSC documentation, recycled-material documentation, REACH, RoHS or food-contact documentation. If a particular standard is mandatory, specify it during the RFQ process so availability can be verified for that product.

Can you support corporate procurement and supplier onboarding?

Corporate procurement requirements vary between organizations. Depending on the project, buyers may request company documentation, product specifications, purchase orders, commercial invoices, packing lists, compliance documents, packaging instructions or quality inspection requirements. Providing your procurement checklist at the RFQ stage helps identify requirements before production.

11

Supplier Verification

Review practical ways to verify a China promotional products supplier before placing a significant first order.

How can I verify a promotional products supplier in China?

Before placing a significant first order, buyers may verify the legal company name, business registration, business address, company contact information, bank account details, quotation or proforma invoice, video meetings, project examples and samples. For larger orders, third-party inspection or additional company verification may also be appropriate.

How do I start a custom promotional products project?

A useful starting brief includes five things: product or reference, quantity, logo or branding requirements, delivery destination and required delivery date. From there, suitable product options, customization methods, pricing, sampling, production and shipping can be evaluated.
